Lead tracking help

Tracking and follow-up for campaigns you already run

HI Paid Media passes your request to a service partner who sets up measurement and lead routing around your current tools.

What lead tracking setup means

Lead tracking setup connects the places a lead passes through: the ad, the landing page, the form, your CRM and the sales outcome. Done well, it lets you see which campaign a request came from and what happened to it afterward.

The work is mostly configuration. Google Tag Manager holds the tags. GA4 records events such as form submissions. Each ad platform gets its own conversion tag. UTM parameters label each link so the source travels with the lead into your CRM. Later, sales stages from the CRM can be sent back to the ad platforms, so they learn which clicks led to real conversations.

Tracking measures what happens. It does not decide what happens; that is down to your offer, your ads and how quickly your team follows up.

What tracking setup usually includes

Scope depends on how many platforms and forms you have, but a typical project includes:

  • An audit of the tags, pixels and scripts already on your site
  • A Google Tag Manager container, in your account, as the one place tags live
  • GA4 events for form submissions and other key actions, marked as key events
  • Conversion tags for each ad platform you use
  • A UTM naming sheet and tagged links for current campaigns
  • Hidden form fields that pass campaign details into your CRM
  • Lead routing and owner assignment in your CRM
  • Speed-to-lead alerts
  • Offline conversion import from CRM stages, where the platforms support it
  • A short report and a written record of what was set up

Questions to ask about tracking work

Tracking is easy to describe and easy to get partly wrong. These questions help you compare providers:

  • Will everything be set up in accounts my business owns?
  • How do you audit what is already installed before adding anything?
  • Which events will count as conversions, and why those?
  • How do you prevent a single form submission from being counted twice?
  • How will UTM names be kept consistent?
  • Which CRM stages will be sent back to the ad platforms, and how?
  • How do you test the setup before calling it finished?
  • What documentation do we receive at the end?
  • Who maintains the setup when forms or campaigns change?

Specific answers, with tool names and a test plan, are a good sign.

Questions about lead tracking and follow-up

What is a speed-to-lead alert?

It is a notification sent when a new lead arrives, by email, Slack or the CRM's mobile app, to the person who should respond. It usually includes the name, the service asked about, the source and a link to the record. How quickly your team follows up is up to you.

Who is responsible for consent to call or text leads?

The advertiser. Your business, with its own counsel, decides the consent wording on forms, whether automated texts are used and how consent records are kept. A tracking setup can store the consent value with each lead, but it does not decide what is compliant. The FCC has general guidance on calls and texts.

Will tracking setup change how many leads I get?

No. Tracking records what happens; it does not change what visitors do. It can show which campaigns produce sales conversations, and sending CRM stages back gives ad platforms better information. What the platforms and your buyers do with that is outside anyone's control.

A few details about your business is enough to begin. A service partner replies to you directly.
